1. The service
ValidThru tracks expiration and renewal dates for documents you record — passports, licenses, registrations, policies, certifications — and sends you reminders by email before they lapse. If you photograph a document to read its dates, the image is read in the moment and discarded immediately: it is never written to storage, and only the document type, issuer, and expiration date you confirm are kept. ValidThru offers no file storage of any kind, on any tier.
The service is offered on a free tier and a paid tier called Plus, described in section 3 and on the pricing page. How we handle your data is governed by the privacy policy, which is part of these terms. By creating an account you agree to both.
2. Your account
You need an email address we can reach — reminders are the product, and they have to go somewhere. Sign-in is by password plus a code emailed to you, or by passkey; an authenticator app can be added. Keep your password and your other sign-in methods to yourself, and keep your email address current — the code goes there. You are responsible for activity on your account; we are responsible for giving you the tools to watch and end it — the session list, remote sign-out, and passkey management live in settings. You must be at least 13 years old to use ValidThru, and if you are under the age at which you can agree to these terms where you live, a parent or guardian must agree for you.
3. Plans, prices, and billing
- Free tracks up to 15 items and includes five scan-and-discard reads for the life of the account, so you can see how document reading works before deciding about Plus. It is free indefinitely, with reminders, recurring items, identifiers, and export included.
- Plus costs $19.99 a year or $2.99 a month and includes unlimited items and scan-and-discard with a fair-use limit of 60 scans a day.
There is no trial and no card is required to start. The free tier does the trial's job without a clock on it; decide about Plus whenever a sixteenth item or a sixth scan would actually help.
Billing runs through Stripe, and card numbers are entered on Stripe's hosted pages — they never touch our servers. Prices are in US dollars and exclude any tax we are required to add. Subscriptions renew automatically at the end of each paid period, at the price shown when you subscribed, until you cancel. You can cancel at any time from settings, effective at the end of the period you have paid for, and you keep Plus until then. Price changes are announced by email at least 30 days ahead and never apply to a period you have already paid for.
Plus renews automatically at the end of each billing period, at the price shown at checkout, until you cancel. Cancel any time from billing settings: the next charge stops and Plus stays on until the period ends.
4. Refunds
Our refund policy: if an annual plan is not working out, ask within 30 days of your first annual purchase and we refund it in full, to the original payment method. Monthly plans are not refunded; cancel and the plan ends with the month you have paid for. We do not prorate. One refund per account. Where consumer law gives you more than this, the law applies.
5. Cancelling and downgrading
Cancelling never deletes anything. When a Plus subscription ends:
- Every item you created stays. Items above the 15-item cap become read-only — still visible, still counting down, still sending reminders, never deleted, on no timer. To edit them again, bring the count under 15 or resubscribe.
- There are no stored files to lose, because ValidThru never stores anything you scan. Your scan allowance returns to 5 a month; nothing else about your data changes.
- Export remains available, on every tier, always. Your own data is never behind a paywall.
6. No file storage is offered
ValidThru does not store files. There is no upload feature, no document locker, and no archive, on any tier. The only image the service ever receives is the photograph you take for a scan, and that image is read in the moment and discarded immediately — it is never written to a database, an object store, a cache, or a log, and no preview or thumbnail is derived from it. What remains is the three fields you confirm: document type, issuer, expiration date.
This is a feature, not a limitation. A photograph of your passport should not outlive the minute it was useful, and an image that was never stored cannot leak, cannot be stolen in a future breach, and cannot be compelled from us. Anything you need to keep must be kept somewhere built for keeping things.
7. Scan-and-discard
When you photograph a document to read its dates, the image is held in memory, read inside our infrastructure, and discarded when the response returns. It is never stored. Reading produces three candidate values — document type, issuer, expiration date — which you must confirm before anything is saved to an item; unconfirmed candidates are deleted one hour later. Nothing else in the image is kept. Reading is best-effort: a blurred or unusual document may produce wrong values or none, and confirming a value is your check, not ours. A failed read costs no scan allowance.
8. Your content
Your items and identifiers are yours. You grant us only the license needed to operate the service — to process a scan you submit, deliver a reminder you configured, and hold data you asked us to hold, for as long as the deletion schedule says we hold it. We claim no other rights in your content, and the license ends when the data is deleted. You are responsible for having the right to photograph and submit what you scan.
9. Reminders are aids, not guarantees
We build the scheduler carefully, test it, and monitor it, and delivery still depends on things we do not control — mail servers, spam filters, an inbox you stopped checking, an address that changed. Reminders are best-effort aids to your own diligence, sent by email only. Renewal obligations, deadlines, fees, fines, and every other consequence of a missed date remain yours, and you agree not to make ValidThru the only thing standing between you and a legally or financially critical deadline. Renewal guidance shown in the app — typical intervals, lead times, prerequisites — is general information, not advice about your situation; the issuing authority's rules govern.
10. Acceptable use
Do not use the service to:
- hold data about people who have not agreed to it;
- submit malware or content you have no right to submit;
- probe, overload, or disrupt the infrastructure outside the good-faith security research terms in the trust center;
- circumvent plan limits, rate limits, or the retention schedule;
- resell access, scrape other users' data, or break anything for anyone else;
- do anything unlawful.
11. Suspension and leaving
You can leave at any time: export, then delete, from settings — no email required, no retention counter-offer. We can suspend accounts that break section 10, with notice and a chance to export except where the abuse is ongoing. We do not delete your data as a penalty, and scheduled deletions (the one-hour expiry of unconfirmed scan fields) continue on their normal schedule during any suspension. We may also change or discontinue features, and if we ever discontinue the service we will give at least 30 days' notice by email with export available throughout.
12. Warranties and limitation of liability
In plain language: the service is provided as is and as available, without warranties of any kind beyond those the law does not let us exclude; our total liability to you for any claim is capped at the amount you paid us in the twelve months before the claim, or $20 if you paid nothing; and neither side is liable to the other for indirect, incidental, or consequential damages, including the cost of a missed renewal. Nothing in these terms limits liability that the law does not allow us to limit.
The service is provided as is. To the fullest extent the law allows, our total liability for any claim is limited to what you paid us in the twelve months before the claim, or $20 if you paid nothing, and we are not liable for indirect or consequential losses, including a missed renewal.
13. Governing law and disputes
If something goes wrong, write to us first; most problems are fixed faster by email than by anything formal.
These terms are governed by the laws of the State of Illinois. Disputes are heard in the state or federal courts in Cook County, Illinois.
14. Changes to these terms
Material changes are announced by email at least 30 days before they take effect, and continued use after that date is acceptance. If you do not accept a change, export and delete your account before it takes effect. The change history is published beside this document.
